LOGISTICS ASSISTANT (PROCUREMENT)

Job Description



Overall responsible for undertaking procurement of goods and services based on authorized requisitions in line with Oxfam GB policies & procedures ensuring timely, cost effective and quality issues for Oxfam’s effective programme delivery


·         To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals.


·         Ensure that records/files of all purchases are documented with relevant information. Maintain supplier performance database


·         Assist supervisor to undertake regular market and suppliers assessments for most common procured items and maintain a database


·         Assist supervisor to consolidate monthly, yearly and other need based reports on procurement, stocks, assets, fleet etc


·         Assist supervisor for developing Framework Agreement (FA) for most common goods / services and manage these FAs


·         Assist supervisor in effective management of fleet


·         To perform any other duties reasonably requested of you by the supervisor


·         Ensure implementation of Oxfam GB’s operational policies, procedures and guidelines, especially gender equity, in all aspects of Oxfam’s work.  With support from technical advisors and program service staff as needed.


·         In case of emergency response, undertake additional responsibilities related to respective functions




·         A diploma in logistics or/and purchasing or relevant qualification


·         Extensive experience in logistics related skills as listed above (managing supplies, team support, purchasing, and vehicle management).


·         Minimum 3 years relevant work experience preferably with INGOs.


·         Proven knowledge and experience of purchasing systems


·         Diplomacy, tact and negotiating skills.


·         Team-working skills.


·         Driving skill, having valid driving license.


·         Flexibility under pressure and in response to changing needs.


·         Attention to detail and excellent numeracy. Ability to keep clear and concise records.


·         Good analytical skills particularly from the point of view of cost effective procurement


·         Multi-tasking and high efficiency, Attention to details


·         Good computer skills: Excel, Word, the purchasing system and Helios system(if possible)


·         Trust and reliability


·         Good written and spoken English


Good reporting and communication skills
