Record Secretary Job at Institute for Peace and Security Studies (IPSS) - 2015


Reports to: Operations Manager 


Location: IPSS, Addis Ababa University 


Duration:May 15-June 30, 2015 with possibility of extension depending on performance and funding availability 


Background 


The Institute for Peace and Security Studies (IPSS) of Addis Ababa University was established in 2007, following a tripartite agreement between AAU, the Royal Danish Embassy in Ethiopia and the University for Peace’s Africa Programme. The mission of IPSS is to promote peace and security through education, research, and outreach in Ethiopia, the Horn of Africa and Africa at large, thereby focusing on African-led solutions. In its academic pillars, the IPSS/AAU offers two PhD and three MA programmes. 


Tasks and Deliverables 


The following are the major tasks expected of the Record Officer: 


Responsible for registration and related cases.Handles add and drop, withdrawal clearance and readmission.Issue necessary certificate of active students and drop-outs on a timely basis.Prepare performance reports for students who have completed their course work.Ensure that University regulation and IPSS AC decisions are effectively executed.Ensure that students who have completed graduation requirements are immediately presented to the IPSS Director/AC.Collect IPSS and AAU’s participants and student’s official transcript and ensure that they are properly received and recorded by AAU main registrar’s office.Prepare GCR and letters of completion.Be responsible for all matters pertaining to academic records and certification.  Serves as liaison person between IPSS and AAU main registrar office.Plan, prepare and issue ID cards to students in consultation with the Registrar Office (AAU).Provides any other support to IPSS in matters related to student registration and issuing degree.Handles storing, arranging, indexing and classifying records;facilitates the development of filing systems, and maintaining these to meet administrative, legal and financial requirements;designs, settles up, maintains reviews and documents records systems;identifies the most appropriate records management resources;advises on and implements new records management policies and classification systems;assist the institutional administration in proper keeping of records and filing system ;ensures compliance with relevant legislation and regulations;enables appropriate access to student information exchange systems both electronically and manually   responds to internal and/or external information enquiries;advises staff  and academic units on the management of their records and information.Others related with record and filing systems  



Qualification and Experience 


A Bachelor’s degree in Information Technology, Management Information Systems, Social Sciences or any other related fieldAt least three years of experience in records management of universities and  students recording systems (both manually and electronically) Good written and verbal communication skills in English. Ethiopian nationality 

Skills


Excellent Computer SkillsExcellent ability to operate and run  registration application programs Adaptability  to work with customers and stakeholders  Ability to  manage various priorities Familiarity with universities recording system  Exposure in working in a multination environment
