PROGRAM COORDINATOR - University of Washington - Seattle, WA

The Department of Global Health was established in 2007, bridging the schools of Medicine and Public Health, with a mandate to harness the expertise and interdisciplinary power of all UW schools and colleges. Driven by tremendous interest among both students and faculty, the Department has grown explosively to more than 400 graduate students and hundreds more undergraduates. We have more than 280 faculty and 1,000 staff working on projects across 93 countries with our deepest ties in Peru, Kenya, Uganda, and Ethiopia.

The Department of Global Health has an opportunity available for a Program Coordinator to provide support to the daily operations and reporting requirements of Global Health programs in Latin America including the Kuskaya and Global Health Fellowship programs.

This position will primarily support four programs funded in the department:
Global Health Fellows Program: this grant is a partnership with four US institutions and over 20 international sites. The program provides fellowship training to 20+ trainees each year, supports 40+ program alumni, and provides career and mentorship development workshops in international locations each year.
Kuskaya: this fellowship is an interdisciplinary program in partnership with the Universidad Peruana Cayetano Heredia in Lima, Peru that provides advanced academic training to pre-and-post doctoral researchers in a variety of disciplines within global health.
ICTuS: is collaboration with the UW Stroke Center, Department of Neurology, and two organizations in Peru (NAMRU & UPCH) to provide advanced academic training and career development for neurologists interested in developing careers in cerebrovascular disease research.
CFAR International Core: this core provides fiscal support to international investigators conducting HIV and AIDS related research.

The individual selected for this position will independently support program staff and ensure that projects are completed within the desired timelines. Daily tasks include creating infographics and program recruitment materials, analyzing receipts and preparing financial reports, planning special meetings and events, and corresponding with a variety of trainees and interested applicants.

Successful applicants will be fluent in Spanish, have experience living or working abroad, and demonstrate an understanding of academic research processes.

Primary Responsibilities

Administrative Support:

Schedule, promote, and assist with in-person and virtual information sessions using Polycom, Adobe Connect, Skype, and Canvas.
Prepare graphic materials for funding applications.
Schedule and attend monthly meetings with domestic and international collaborators. Prepare meeting materials and distribute meeting minutes to collaborators.
Coordinate complex international travel and meeting logistics for workshops and seminars in international locations, including the development of meeting materials, room logistics, and travel for participants.
Monitor trainee progress toward core competencies and prepare completion reports for Principal Investigators.
Provide graphic design for program materials utilizing, Piktochart, Photoshop, and Gimp and convene feedback sessions to collect input from colleagues.
Develop content for program websites; including taking high quality pictures and editing copy. Troubleshoot website problems in WordPress.
Design monthly newsletters and other community building initiatives for programs.
Respond to inquiries from interested applicants (roughly 15-20 inquiries per week). Provide guidance on eligibility and coordinate introductions to mentors and program staff.
Develop and maintain social media accounts for the fellowship programs. Create content, engage followers, and promote the programs through Facebook, Twitter, LinkedIn and more.
Prepare customs forms and other documentation needed for international shipments
Communicate with program alumni to create a comprehensive safety and security guide for trainees in in 36 countries.

Fiscal Management:

Process travel reimbursements in the UW Ariba System for trainees and staff; educate new trainees and staff on institutional policies.
Request purchases, prepare sole source justifications, and track invoice payments using PurchasePath, Procard, Ariba and PAS.
Issue, audit, and reconcile field advances for UW-Kenya and CFAR.
Assist field sites with compliance training and management of funds; including utilizing QuickBooks accounting software for expenditure tracking.
Develop, implement, and train investigators on policies and procedures in accordance with State & Federal guidelines for reimbursement and funding mechanisms.
Maintain a database of open field advance and pending reimbursements and report problems to supervisors.
Work closely with UW Accounts Payable & Travel Offices to trouble-shoot problems and issue clear guidance for resolution.

REQUIREMENTS:

High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

Additional Requirements:

Fluency in Spanish and English.
Experience with UW Systems including PurchasePath, Ariba, and MyFinancial Desktop.
Advanced word processing skills with an emphasis on Microsoft Office products to include: MS Word, Excel, Outlook, and PowerPoint.
International work experience or experience in an academic research environment; familiarity with global health programs a plus.
Experience with web design and/or use of Word Press and Drupal software. Basic proficiency in HTML.
Experience creating published materials and infographics.
Demonstrated ability to work independently and to meet required deadlines.
Strong organizational skills, attention to details, and excellent time management.
Excellent judgment and interpersonal skills with proven ability for effective cross-cultural communication.

Condition of Employment:

Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
