The United Nations Children’s Fund (UNICEF), the world’s leading organization working for the rights of children, is inviting applications for this position.


PURPOSE OF THE POST


Under the direct supervision of UNICEF Health Specialist, NO-C, the incumbent performs a variety of information gathering, monitoring, technical and administrative services of moderate scope and difficulty, in support of programme activities.


MINIMUM REQUIREMENTS:


  • Assists to collate, review and establish completeness of all program documents – reports, evaluations, work plans, information/data and agreements/MOUs based on UNICEF guidelines and follow up on any inconsistencies observed with counterparts and programme officers and prepares and edit periodic and ad-hoc reports and maintain electronic and hard copy in user friendly and retrievable manner for all documents.

  • Drafts requisitions (Cash, Supplies) based on proposals and request and liquidation reports from government and NGO counterparts review field office POs and prepare payment request (PRQ). Draft in VISION, TAs on behalf of the POs.

  • Contributes to preparation of reports, project documents for use in discussion with government and other counterparts including generation of outstanding UNICEF Assistance (Cash and Supplies) and program implementation reports.

  • Provides support in organising field office related trainings, workshop/meetings and keeps adequate record of all events’ documentation related to the Field office.

  • Prepare draft agenda of meeting/workshops/trainings and prepare minutes for the events, draft letter and other documents (memos, note to file) for review by the CFO and/or POs and prepare draft summary of reports and other relevant documents and collate and incorporate contributions from the POs and CFO in reviewed reports, documents as necessary.

  • Support field office in conducting spot checks and field monitoring and other visits to the region as needed and prepare draft programme/itinerary for visitors to the field office and the region.

  • Collate and compile up to date matrix for programme and operations indicators for the field office and share with all staff.

  • Monitor programme budget and provide updates to programme staff and CFO on weekly basis and follow up and compile contributions to donor and other draft reports for review.

  • Performs other duties as required by the Supervisor or Chief of Field Office.



Education requirements: Completion of secondary education, preferably supplemented by technical or university courses in a field related to the work of the organization.


Work Experience: Six years of progressively responsible in senior clerical or administrative work, of which at least one year is closely related to support of programme activities.


Language requirement: Excellent English language skills (writing, speaking and comprehension). Knowledge of the local language of the duty station is an asset.
