FISCAL SPECIALIST 2 - University of Washington - Seattle, WA

The Department of Global Health was established in 2007, bridging the schools of Medicine and Public Health, with a mandate to harness the expertise and interdisciplinary power of all UW schools and colleges. We have more than 280 faculty and 1,000 staff working on projects across 93 countries with our deepest ties in Peru, Kenya, Uganda, and Ethiopia.

The Department of Global Health has an outstanding opportunity for a full-time Fiscal Specialist 2 .

Duties & Responsibilities:

Purchasing:
Review purchase requests for compliance with the UW and funding agency policies.
Resolve problems by following up with vendors and the purchaser.
Order items using purchase orders in PAS, UW ProCurement Card, and Ariba as appropriate. Sole Source and various other purchasing forms.
Prepare Check Request Forms for reimbursements to non-uw and honoraria including their travel.
Complete eReimbursements for faculty, staff and students.
Complete all PO and non PO invoice purchasing following UW policies Compiling all Washington State Invoice vouchers for domestic and foreign wire transfers.
Place all ProCard orders for the department using PurchasePath system.
Place orders with vendors as required and resolve and reconcile invoices.
Maintain PurchasePath system by adding/removing budgets, users and orders as needed.
Review, reconcile and allocate to the appropriate budgets an individual ProCard as well as the department’s FedEx Ghost account & CTA Travel Account.
Track and file invoices/packing slips (physically and electronically) for all purchasing;

Administrative support:

the following on days with no student assistants:
Sort and distribute mail;
Perform receptionist duties such as answering the phone, greeting and directing visitors, manage room reservations, and keeping office areas tidy;
Assist with preparation of memos, letters, and reports;
Maintain purchasing databases and record keeping systems for both state and grant funds for the department.
Prepare monthly budget reconciliation for up to 300 budgets.

Assist with the following as needed:

Manage maintenance and reconciliation of petty cash account.
Assist Director with Special Projects.
Act as Payroll backup for Department.
Prepare monthly reports or as necessary for review by Manager of Program Operations.
Review state and federal equipment inventories for the department. Prepare reports for departmental review.
Update the OASIS inventory database to reflect location, budget, surplus changes and newly tagged equipment.
Prepare and process surplus forms and assist in coordinating items for delivery to the surplus office.
Provides back-up support for Department equipment insurance processes
Update Department website using Drupal, as needed.

REQUIREMENTS:

Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college level accounting, or equivalent education/experience.

Additional Requirements:

Demonstrated ability to learn new processes and technologies.
Ability to handle and prioritize varied responsibilities and meet deadlines.
Experience with MS Office Suites (including Word, Excel, Access, Outlook)
Experience with Outlook Calendaring and room scheduling.
Exceptional attention to detail and accuracy.
Strong interpersonal skills, with the ability to relate to and work with diverse groups of people.
Experience assisting in the development of new projects and processes.
Excellent organizational skills and follow through, with the ability to manage projects independently.
Ability to demonstrate excellent communication skills both verbally and written

DESIRED:

Three years of fiscal record keeping experience, or equivalent education/experience.
Demonstrated understanding of how to use technology to advance business objectives.
Bachelor's degree
Advanced experience with MS Access and Quickbooks

Condition of Employment:
