HR and Admin. Assistant




DIMENSIONS:

·      Responsible for resources within defined boundaries or a specialist area


·      Providing support and information on areas of work covered in their remit


·      Implements departmental plans to agreed standards


·      Assists with the development of solutions to problems and responds to routine problems


·      Responds to and uses information received in a variety of formats from different sources


·      Some flexibility to anticipate and resolve challenges within departmental parameters in own work area.


·      Day to day planning in line with departmental/divisional priorities .


·      Communicates both internally and externally to give and receive information.


 

KEY RESPONSIBILITIES:
  • To be Assist HR and Admin Officer for the whole recruitment process including placing adverts, dealing with responses and correspondence, facilitating the work of the short listing and interviewing process, administering the tests.

  • To be review  for renewing contracts and keeping Management informed of dates of contracts.

  • To be responsible for taking up references and obtaining results of pre-employment medicals.

  • Maintain recruitment file.

  • To monitor dates relating to Probationary Periods,  Performance Review, and End of Contracts; and balances of Annual Leave and sickness absence.

  • To insure that when a member of staff leaves Oxfam that Exit interviews are conducted, clearance is processed, final payments have been arranged with Finance and that the personal file is closed.

  • Prepare induction schedule for new staff

  • Issue of ID cards

  • To ensure that all vacancy bulletins are circulated to filed offices and that standard Oxfam forms etc. are made available to the field and partners.

  • Ensure smooth management of day to day administrative function and requirement in the office

  • Coordinating with logistics department for ensuring timely procurement of Office supplies

  • Prepare and maintain files for various letters for external and internal communication

  • To be responsible staff flight booking and accommodation booking

 



Job Requirements



SKILLS AND COMPETENCE:


·      Diploma/Degree in Management, Human Resource or related fields with two years experience in work preferably with an INGO.


·      Knowledge of country labour law.


·      Good organisational skills and attention to detail.


·      Proven knowledge and experience of computerised systems.


·      Excellent interpersonal skills


·      Ability to manage competing tasks; ability to priorities.


·      Ability to achieve results by influence and persuasion.


·      Ability to forge effective working relationships at all levels.


·      Fluency in English both verbal and written and local languages


·      Trustworthy
