Job Description

As Program Management Specialist for Humanitarian Emergency Assistance (HEA) you'll manage a portfolio of US government (USG) and private, non-sponsorship funded projects to ensure proper implementation, reporting, and provide direct interface with WV National Offices and stakeholders within WVUS and the WV Partnership. Provide specialized assistance to the HEA team to meet project and program objectives, improve business processes, and meet client expectations. Communicate World Vision's Christian ethos and demonstrate a quality of spiritual life that is an example to others.
Responsibilities include:
Manage a portfolio of large USG humanitarian grants and/or private non-sponsorship, (approximately 70% effort):
* Provide project management oversight to public (OFDA and PRM) and/or private non-sponsorship projects in start-up, implementation, and close-out.
* Liaise with USG and internal fundraising team representatives regarding donor expectations and work with the implementing field teams regarding project implementation and reporting.
* Ensure that the reporting and evaluation process for the performance management of programs is developed and implemented.
* Communicate project outcomes to stakeholders
* Ensure timely and effective support to all HEA grants in portfolio through the provision of advice in areas of compliance, financial management, and overall project implementation, including the sourcing of technical assistance, as necessary.
* Ensure all involved staff have copies of approved program design and understand donor regulations, reporting and other requirements.
* When appropriate, facilitate start-up workshop and provide any required training (e.g., donor requirements).
* Serve as the primary point of contact on specific grants for external interface (donor, USG, other NGOs) and internally (WVUS divisions and departments; WV Global Center, and other interested SOs) as well as manage the reporting, planning, and documentation of lessons learned on behalf of WVUS.
* Conduct field visits to assist the office, ensuring communication and coordination with the Country Program Manager.
Program/Project Support Functions, (approximately 30% effort):
* Assist Senior Director and Operations Director in preparation for high-level meetings, position papers and proposal.
* Provide administrative support and assistance to team members as needed including, but not limited to organizing meetings, conference calls, interfacing with WV databases, filing, formatting, etc.
* Provide assistance to other team members in the development and maintenance of larger more complex USG projects.
* Participate in the proposal development team by assisting in the writing, copy-editing, formatting, researching, and compiling of proposal documents.
* Backstop team members on all funding-related issues, including but not limited to the following: grant proposal writing, reporting, and organizing stakeholders.
* Serve as primary point of contact and backstop team members while they are absent from office and as needed in order to ensure continuity of service supporting team in their interaction with partnership offices as well as public and private donors.
* Perform research and support the packaging of information to create reports for internal and external audiences, including donors, the field and government agencies. Utilize and manipulate databases to access documentation.
* Participate in the orientation, training, and/or hosting of visitors, new employees, and temporary staff on behalf of department.
* Perform other duties as assigned.
* Work collaboratively with team members when assigned to work as part of a team.
* Attend and participate in the leadership of daily devotions and weekly Chapel services.
Required Experience

Bachelor's degree or equivalent required. Minimum of three years relevant work experience, or Master's degree in international development or related and a minimum of one year of relevant work experience. Multicultural experience and fluency in a second language are valued.
