Overall Responsibilities:
§ S/he will provide various administrative support and assistance to the Director Administration and Finance.
§ S/he will contribute to and/or take over specific tasks of the areas of Procurement, Finance, HR, IT or Internal Control based on her/his capabilities and interest.
Tasks
· Provide administrative support and assistance to the Administration and Finance Director. This will include (among others):
§ Manage incoming and outgoing correspondences and phone calls
§ Maintain proper filing system for correspondences and other documents
§ Manage the calendar of Admin and Finance Director
§ Administrative support on various areas (e.g. payment of mobile phones)
§ Draft/type general correspondences, management reports, presentations, manuals and memos.
· Specific tasks as assigned. This could include (among others):
§ Maintain and improve structured document filing system for different departments
§ Actively participate in the organization of meetings and events
§ Collection of data (internet research on relevant topics) and creation of fact sheets (e.g. on tax-, legal-, customs- or development topics)
§ Follow-up on Internal Audit and Internal Control issues with various concerned parties
§ Maintain and improve communication with GIZ programs in Ethiopia
§ Participate in (or lead small) projects as assigned.
Required Entry Qualifications and Competencies:
Formal Education
· BA in Business Administration or similar fields.
Professional Experience
· At least 5 years of professional working experience in a similar position (with references)
· Experience with international (government- or non-government) organizations is a plus.
Other Qualification:
· Good organizational and time management skills to prioritize workloads.
· Excellent spoken and written communication skills in English
· Interpersonal skills to interact with personnel from different levels of seniority
· Independently working, proactive and result oriented
· Strong team working skills.
· Good computer skill in Microsoft Word, Excel, Power Point, Publisher etc.
