Job Description
Under the general supervision and guidance of the Plant Manager the Executive secretary performs administrative duties in the office of Plant Manager. Incumbent is responsible to manage the correspondence, recorded keeping and other administrative issues.
Reports directly to the Plant Manager .
- Manages supervisor’s calendar and independently schedules appointments.
- Screens incoming calls and correspondence and responds independently when possible.
- Prepares memorandums outlining and explaining administrative procedures and policies
- Arranges programs, events, or conferences with facilities and cater, issuing information or invitations, and controlling event budget.
- Directs preparation of records such as agenda, notices, minutes, and resolutions for meetings.
- Manages the record keeping of company policies, procedures, and other documents in a modern and systematic manner.
- Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
- Creates and maintains database and spreadsheet files
- Regulates the smooth flow of information between the office of Plant Manager and other organizational units of the company.
- Explains to employees, visitors, guests or representatives of external organizations about the routine and standard practices of the company.
- Sorts mail delivered to the office, maintains control over incoming correspondence, reviews correspondence memoranda.
- Transmits messages and instructions from the Plant Manager to individuals and units and follows up matters as need be .
- Prepares agenda for meetings, takes minutes of meetings, type same for signature.
- Transmits data and documents via Fax and internet accesses as directed.
- Keeps master file and register of all outgoing and incoming letters, memoranda, and other documents.
- Proof reads letters before signature by Manager for official release.
- Maintains confidentiality in all sensitive matters of verbal and written information.
- Ensures a clean and proper arrangement of the office and its environments.
- Performs other duties as per the direction of the Manager .
Job Requirements:
- BA Degree in Secretarial Science, Business Management or others related feilds with at least two years of work experiance OR Diploma in secretarial service and 4 years work experiance.
- Excellent English, written and spoken
- Meticulous on handling activities, procedures and following instructions
- Excellent application of computer
- Excellent communication skill
