JOB SUMMARY
Project Concern International (PCI) is non-governmental and non-profit international organization dedicated to prevent diseases, improve community health and promote sustainable development worldwide. PCI is currently looking for highly qualified Administration and Logistics Officer that fulfils the following requirement for one year employment with possible extension based on performance. The Administration and Logistics Officer will primarily work closely with the whole PCI-Ethiopia team. S/he will handle all administrative and logistics matter in accordance with government, donor and the organization policies, guidelines and processes.

MAJOR DUTIES AND RESPONSIBILITIES: The position holder will have two major responsibilities, i.e. Human Resources and Administration. Therefore, the incumbent is expected to be highly qualified for and experiences in both areas these areas. Major duties and responsibilities include, but not limited to the following:
- Draft job descriptions for new positions; facilitate vacancy announcements; screening of applications; initiate and arrange interviews and facilitate all recruitment processes;
- Create and maintain staff profile, accurate and complete personnel files and non-personnel documentations, up-to-date files and records and archive system;
- Develop and implement orientation and induction guidelines, HR manuals, administration guidelines; staff development schemes and strategies;
- Maintain records on all personnel issues such as, but not limited to promotion, transfer, discipline, annual leaves, holidays and all other types of personnel matter;
- Ensure timely renewal of contract agreements and documentation of performance appraisals and appropriate actions are taken;
- Design staff productivity schemes, incentive mechanisms and implement when approved;
- Ensure staff safety conducive working environment;
- Handle all matters related to staff benefits, grievances and disciplinary issues, termination, resignation, clearance and exit reports;
- Ensure availability of adequate and quality office supplies and logistical services at all times;
- Ensure the wise use of office supplies, transport services, and office facilities
- Handle travel arrangements, visa issues and hotel reservations for staff and PCI guests;
- Draft contractual agreements both for staff employment as well as service procurement;
- Maintain accurate and up to date fixed asset register, ensure insurance agreements are renewed regularly;
- Manage mini-store in an organized manner and ensure office supplies are always at its optimum stock level and handles store requisitions, purchase orders and procurement activities in accordance with PCI and donor policies;
- Provide adequate support to field offices on all administrative and logistical matters;
- Attend incoming and outgoing letter, telephones, faxes and arrange appointment schedules and venues for meetings as needed;
- Ensure all services such as internet, power, utilities and other facilities are adequate for office use and bills are settled on time;
- Keep track and ensure proper use of administrative policies, guidelines and procedures; provide feedback on their applications and advice if modifications are needed or not;
- Identify staff development needs and provide alternative options to address them;
- Work with IO HR Manager to align our administration activities with PCI strategic directions and principles;
- Promote team work throughout PCI-Ethiopia and demonstrate good role model in the organization
- Carry out related activities as assigned by the supervisor.
Education:
- MA Degree in social science, preferably in management, business or public administration or related field with relevant work experience in the field. BA degree holders with progressive and relevant management experience could be considered.
Experience
- A minimum of five and eight years progressively work experience after graduation in government, profit organization, non –governmental organization for MA and BA holder respectively.

- Excellent analytical and interpersonal skills; good knowledgeable of handling people, ability to work under stress and accomplish results as planned; comfortable working with multi-disciplinary team
- Excellent written and verbal communication skills in English. Proactive leader and team player.
- Desired skills –motivation and determination to work hard and succeed.
- Willingness to be flexible and juggle priorities to get the job done. Strategic thinker, able to prioritize and focus on tasks and projects with the highest potential for success.
- Past experience in resources management and staff development is highly desirable.
