Position: Finance and Administration Officer
Recruitment type: Contract
Education: BA or Ma degree in Accounting from a recognized university or college with the above qualification and training on financial management
Responsibilities of Finance and Administration Officer
Requirements:
- Ensures that accounting, trial balances, monthly bank reconciliations and budget tracking are carried out regularly and reports with narratives are prepared on monthly, quarterly bi-annual and annual basis
- Closes the annual books of accounts and manages the annual audit process.
- Ensures the compliance of the financial reports in accordance with 30/70 rule by due date to donors financial requirement and government operational agreement
- Ensures financial reports are distributed on time to the management and externally to concerned bodies.
- Ensures all audits are carried out on time and the reports are submitted to the director, board of the Forum, donors and other concerned bodies
- Records expenditures, income and other related transactions in the books of accounts Co-signs checks and confirms other documents as appropriate before signed by the ED Ensures payrolls are prepared on time and related income taxes are paid to the concerned government body
- Check all receipt, invoice and petty cash payments
- Undertakes any other financial transactions in-line-with government regulations and the Forum’s financial manual
- Perform standard financial duties as assigned by the ED
Human Resource Development
- Participates in the recruitment, promotion, transfer and termination of staff in accordance with the labor law and staff charter of the Organization.
- Prepares annual leave plan and updates records
- Maintains records of updated personnel profile and prepares statistical reports to indicate the status
- Delivers clearance and/or certificate of experience to employees leaving the Forum after checking all obligations have been fulfilled
- Provides capacity development on accounting, budgeting, budget tracking, reporting and compliance management to the Forum and stakeholder staff if need be.
- With the consent of the ED, takes disciplinary and administrative measures on staff he/she responsible.
- Performs standard and other duties as assigned by the ED
Communication
- Communicates with the Charities and Societies Agency and other donor organizations for administrative and financial matters
