Job Description
Under the supervision of the HR/Admin Officer or Camp Manager for Shimelba Refugee Camp, the HR/Admin Assistant will handle travel and hotel accommodations, and Prepare HR/Admin payments. He/she should deliver his/her duties and responsibilities in an efficient and professional manner. The position holder carry out administrative tasks related to filling and other HR/Admin related tasks.
DETAILED RESPONSIBILITIES AND TASKS:
I Administrative Duties
Assists in organizing facilities for workshops, seminars and trainings. Makes flight and hotel room bookings for staff traveling for official duties. Drafts letters, memos, incentive work certificate, and short reports of administrative nature as required. Maintains up-to-date records of all incentive staff. Ensures that the office and guest house facilities and equipment are always in good condition, and undertakes prompt repair as required. Ensures that office supplies required are always available in the office. Keeps records of all private use of telephone, e-mail, and fax and inform finance department for collection. Responsible for arrangement of accommodation for staff & visitors traveling on official duties. Update internal and external contact sheet; Prepare payment vouchers in relation to HR especially medical, temporary staff payroll and severance, hotel accommodation, etc.
II Human Resources Management
Assists in organizing orientation at camp level for new incentive staff. Participate in incentive hiring process and file the complete document in incentive personal file Maintains up-to-date tracking of incentive workers database and report to HR/Admin Officer/Addis HR on a monthly basis. Follow up the timely evaluation of incentive workers with supervisors and Camp Manager/HR/Officer. Assists in interview and selection of staff at camp level. Assist in Preparing Employment Contract for of incentive workers, temporary, and definite period employees. Completes all personnel forms required and opens files with all the necessary documents for newly-employed incentive worker. Prepares a monthly incentive staff database and report to HR/Admin Officer and to Head office. Performs other related tasks as required.
Job Requirements
EDUCATION: University Degree or College diploma.
EXPERIENCE: 1 year experience for Degree holders or 3 years’ experience for diploma holders
SKILLS AND ABILITIES:
• Computer literate especially word and excel are essential.
• Having excellent communication and interpersonal skill is a must.
• Knowledge of e-mail
• Excellent English and Amharic.
• Ability to work under pressure.
