Job Description
The finance assistant will assist in the daily operations of field office with respect to financial
management and participate with the monthly closing
Key Duties and Responsibilities
- Follow up transfer of requested cash from country office and acknowledge receipt as soon as received
- Handle & control petty cash float of the project site
- Ensures that adequate petty cash on hand is available for daily operation of the office.
- Upon due approval from the Project Manager/FFAO, effect payment from petty cash up to the limit per
transaction
- Collect valid receipts against payment effected from the petty cash
- Prepare petty cash payment voucher for transaction invoices on daily basis
- Code vouchers in line with IMC chart of accounts
- Update cash payment journal on daily basis
- Replenish petty cash when its limit reduced to minimum requirement or below of the total petty cash fund.-
- Handle and control cheque books of the project site
- Make sure all procedures and formalities to issue a cheque are in place
- Prepare cheque payment voucher against cheque transactions for approved transactions
- Prepare and maintains bank transaction journal
- Inform daily cash and Bank balances to the FFAO
- Deduct withholding tax from transactions subject to the tax
- Issue and hand over receipt to withholding tax payers
- Ascertain supporting documents accompany to each transaction
- Stamp transaction invoices with PAID stamp
- Ascertain all vouchers carry approval of the Project Manager /FFAO
- The AFFO may be required to discharge other duties which are not specifically indicated above but
fall under his/her scope of duties and responsibilities
· Diploma in accounting with three years work experience from international NGOs
· Knowledge of generally accepted accounting principle, procedures and practice
· Ability to collect and organise accounting data , interpret its significance, and prepare
accurate financial report
· Excellent communication and interpersonal skills
· Must be organised and posses the ability to multi task
