BACKGROUND:


The Ethiopian Agricultural Transformation Agency (ATA) has been established by the Government of Ethiopia (GoE) to identify and address systemic bottlenecks to Ethiopia’s agricultural development and transformation. The Agency does this through problem-solving, project implementation and support, and coordination and capacity building of stakeholders involved in implementation.


 The National Framework for Agricultural Commercialization Clusters (ACC) is being introduced in Ethiopia by the Ethiopian Agricultural Transformation Agency, the Synergos Institute, and partners at the Federal and Regional levels, and from the development and private sectors. ACCs apply a geographically-focused approach for rapidly enhancing priority agricultural commodity value chains throughout the country. The implementation of this National Framework will support agricultural sector transformation by enhancing and supporting existing structures to address systemic as well as commodity- and geography-specific bottlenecks across priority commodities value chains. This Framework builds on previous federal and regional efforts for value chain development and advocates for a more focused and market-driven solution with significant coordination between diverse public, private and development sector actors.


 To support implementation of this National Framework for ACCs, Regional structures including Stage II ACC Support Teams are being established by Regional Governments with the following main responsibilities:


Coordinating planning and program management including strategic and operational planning for the cluster, supporting establishment of Value Chain Alliances, day-to-day coordination of value chain actors and financial and performance trackingIdentifying and problem-solving key challenges, including effectively escalating to Regional and Federal levels where appropriateProvide effective upward performance and financial reporting to regional and national bodies, utilizing standard tools and templatesFacilitation of private sector investments by ensuring timely and efficient investment support (e.g. registration, certification) and ongoing problem-solving support

POSITION SUMMARY:


Under the direct supervision of the Regional Cluster Secretariat Lead, the Administrative Assistant is responsible to perform administrative and office support activities such as writing letters, memorandums, compiling reports, communication with program team, compiling presentations, filing, and faxing, maintaining of mini store, repairing of office machines and event organizing.  In addition, the Administrative Assistant will be responsible to assist in HR related functions, including recruitment, staff relations, onboarding and related administrative duties


 ESSENTIAL DUTIES: 


Assist the Program team in administrative related issues Write business letters, reports or office memoranda using word processing programs Work as communication focal person Follow up and compile monthly reports of Admin, HR and Finance from the respective team Follow up the stationary acquisition through procurement processes on time  Request stationary from ATA store to maintain readily usable  stationary stock  Ensure printing paper and cartridge is ready for internal users in all printersEnsure the functionality of common printers, photocopy and fax machines and report problems Assisting the program and support team in events organizing; meetings, workshops, retreats…etc.Assist the HR team in the recruitment and selection process: receive applications, assist in keeping applicant information electronically for possible reference and review, assist in scheduling of interviews and assessments of candidates and related logistic matters Keep and update staff leave records (annual, sick, maternity, parental, etc.); liaise with supervisors for corrective actions on leave of absence documentation Assist with off boarding/exiting staff clearance procedures and support the processes of filling exit interviews and property handover Assist with maintenance of files of all staff to document and keep track of staff profileAssist in the inclusion of new staff to the insurance policies immediately upon employment, process staff claims for reimbursement of expenses as per the insurance policy] Assist with provision of staff identification cards, business cards, mobile telephone scratch cards (monthly), and other facilitiesPerform other relevant duties as requested
