Job Summary
Assist the Finance & Administration Department in secretarial and office management matters at Addis Ababa office.
Duties and Responsibilities
Manage all office activities & give a remarkable support for the department.Assist in communication with foreign clients & related activities.Maintain records of incoming and outgoing letters Manage internal and external phone communications to the Finance & Administration Department Offices and provides information/assistance or routes caller to appropriate staff member Plan appointments and meetings with externals and with Finance & Administration Department Manager.Receives visitors to the office and directs them to appropriate individual.Responsible for the preparation (typing) of correspondence letters and reports required by Department Manager or Other work leaders.Compiles and types statistical reports including tables and text using spreadsheet software. Assists F &A Department with monitoring office supplies. Operates and maintains fax & scanner machine & deliver information’s for concerned staffs. Makes copies, scan, collates, and staples materials as requested. Establishes and maintains permanent files; files and retrieves documents as requested. Performs other related duties as required.
Qualification & Experience
BA Degree in office Management & Business Administration System, 3 years related work experience.Diploma courses in secretarial/office management ,6 years related work experience.
Required Skills
Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping.Knowledge of modern business communication, including style and format of letters, memorandum, minutes, and reports.Skill to use a personal computer and various software packages.Skill to type 50 words per minute. Ability to establish priorities, work independently, and proceed with objectives without supervision. Ability to handle and resolve recurring problems.
*Employment Status: Temporary & renewable on 6 month.
