PATH's mission is to improve the health of people around the world by advancing technologies, strengthening systems, and encouraging healthy behaviors.
The Strengthening Communities' Responses to HIV and AIDS project is a three-year contract funded by USAID, with two one-year option periods.? The goal of the project is to strengthen the organizational development and human capacity of civil society organizations (CSOs) so they are better able to reach people across Ethiopia with quality interventions that reduce the impact of HIV and AIDS. Coordinating its work with regional and federal offices of the Ministry of Health and the HIV and AIDS Prevention and Control agency, this project makes grants to CSOs across the country.

The Finance & Administrative Assistant's main responsibilities include recordkeeping of all the site's office financial transactions; administrative and HR support services to SADM (including inventory management), and handling petty cash and check payments. S/he also assists the SADM with the processing of country office monthly reports including bank reconciliations, advance accounts and all required financial report.
Specific Responsibilities:
Accounting Duties:
* Schedule for cheque writing to suppliers and office utilities where documentation is completed with invoices, purchase order and cheque requisition duly authorized by the PADM/SADM and/or RPM/CTL
* Collects cash from suppliers/vendors and deposits to the bank timely;.
* Ensure that all for payments, travel advances, staff claims, journals and purchase/work orders have complete, bona fide, and legitimate supporting documentation ensuring that all transactions are properly authorized before payments are to be made;
* Check validity of expenses and receipt presented for payment with respect to reasonable, allowable and allocable basis.
* Make copies of all finance documents and file in sequence. Prepare the original complete set for shipping to International Accounting Services (IAS) Dept. with the monthly Field Office Financial Report (FOFR).
* Control, record and physical custody of the Petty Cash float
* Maintain the following books of accounts
* Cash receipt book
* Accounts payable (supplies and utilities)
* Withholding tax payments
* Statutory payments;
General Financial Reporting:
* Ensure that monthly journals are processed in respect of prepaid expenses , e.g. prepaid rent;
* Ensure that Petty Cash are processed;
* Assist with the development and submission of the country office's quarterly cash projection requests ;
* Review the country office's bank reconciliation and bank accounts??
* Reconcile clearing accounts;
* Reconcile advance accounts with staff;
* Review of Monthly Expense Reports (MER) against the General Ledger for variances;
* Ensure that regular backups of data are completed;

Administration:
* Reconcile all supplies statements to PATH's records and ensure all disputes are resolved.
* Notify the management of unusually high and abnormal expenses or bills charged to PATH.
* Assists the SADM in daily administrative functions such as procurement and others;
* Assists the SADM in handling various HR activities;
* Maintains/updates? inventory records and participates in annual physical inventory;
* Perform any other duties as assigned by supervisor
Required Skills
* Strong accounting skills and good knowledge of local accounting practices and tax laws
* Proficiency in MS Office applications; Excel and Quickbooks is a must
* Demonstrated excellent organizational and interpersonal skills
* Excellent oral and written communication skills in English
* Demonstrated ability to work in a team environment?
Required Experience
* BA degree in Accounting/Finance
* Minimum of two years experience in administrative and financial coordination and management
* NGO experience will be an asset;
