Purpose of the Position: Under the general supervision of the Transport Management Officer, the incumbent will be responsible for the provision of transport services through effective deployment of office vehicles, maintenance of vehicles and liaising with concerned Government Department on vehicle inspection and certification.
Key Accountabilities and Duties & Tasks
1. Transport Assistant provides support to the Transport Officer in ensuring the transport management plan is fully implemented in the areas of vehicle use, fuel consumption and mileage, deployment plans of drivers, drivers’ performance, drivers’ OT, replacement and procurement of vehicles.
2. Makes sure CO & field office vehicles are fitted with safety and security items like radios, fuel reservoirs, first aid kits and tools etc., and all accessories are functional.
3. Follows up vehicles are timely maintained and kept in good running condition. Receive vehicles at the end of maintenance tasks through conducting proper checkup.
4. Arrange airport pick-ups and drop-offs of high level visitors, senior staff members and their dependents when required.
5. Handles deployment of vehicles and drivers for field trips and in town use at daily basis, Controls over the daily movements of the official vehicles by checking the reports by the field offices and log books submitted by Addis drivers, compiles data and prepare reports on a monthly basis.
6. Handles traffic accident cases involving both official vehicles and vehicles owned by the international staff. Makes sure timely reporting to the police and insurance company is made and follow-up on claims is made as per the policies.
7. Manage and control official vehicles deployed for private use and furnish data for the user and / or Finance for cost recovery.
8. Direct supervision of drivers. Schedule and control drivers’ annual leave plan in conjunction with the office work plan. Prepares drivers’ roaster and deployment plan both for staff and contracted company drivers. Keeps drivers over time records and verify for payment. Provides input to driver’s performance evaluation.
9. Monitor utilization of tire use and maintain a record of all requests and dispatches.
10. Inspects rental vehicles for their fitness, timely completes annual inspection task of vehicles, conducts log book review and reports on discrepancies and keeps relevant records.
11. Provides fuel coupons and cards for CO and field offices vehicles and follows up the settlement process
12. Performs other duties as required.
Qualifications of Successful Candidate
Education Requirements: The incumbent should acquire a Diploma in Auto Mechanics; Secondary education; a valid driver’s license and knowledge of local driving rules and regulations. Ability to various computer tools such as a word-processor, excel and other transport and fleet monitoring software.
Work Experience: Five years plus on transport and fleet management activities, which should have provided a good knowledge of transport practices and procedures.
Language requirement: Very good knowledge of the local language and one or two languages of the organization.
Nationality: Candidates should be NATIONALS of Ethiopia.
