Post title: Accountant/Secretary

Place of work: Rural Land Administration and Use Directorate, Ministry of Agriculture, Addis Ababa
Salary: As per the project salary scale
Length of work agreement One year with possible extension
Application deadline: 22th March 2015
Overall responsibilities:
• Responsible to the REILA Chief Technical Advisor
• Carry out accounting of the project funds; maintain Project’s books for management, reconcile bank and cash registers with accounts database and statements, and prepare financial statements. Assist Chief Accountant in preparation of financial reports
• Taking care of the property and equipment of the project
• General secretarial services
Specific duties and responsibilities:
• Responsible for financial management
• Preparation of monthly financial reports
• Preparing and updating Analysis book, Bank book, Cash book, lncome / expenditure books as well as Debit and Credit books
• Prepare cash flow plans and ensure that bank and cash registers are up to date
• Ensure that bank and cash registers are reconciled with the accounts data base
• Check monthly bank reconciliation statements
• Follow-up pending invoices to local authorities and other organizations and suppliers and make sure they are paid in time
• Be responsible for preparing the monthly payroll.
• Preparation of payment vouchers and processing of payments
• Check payment and receipt vouchers for good accounting practice and proper coding
Responsible for monthly accounts submission to Home Office, in cooperation with the Chief Accountant, and responding to subsequent queries, if any Data entry in the Computer
• Maintenance of petty cash
• Responsible for staff advances; follow up advances and retirements
• Assist Project internal and external auditors when needed and carry out internal control operations
• Updating assets inventory
• General secretarial duties including filing, travel & accommodation bookings report distribution
• Assist in the organization and facilitation of workshops
• Work together with the Liaison Officer in processing visa, resident permits and customs related issues
• Any other duties that may be assigned by the Team Leader from time to time
Qualification and experience:
• Minimum of Diploma in Accounting, Financial Management or a related field
• Minimum of 5 years work experience in a similar environment
• Exposure to accounting practises
• Experience in secretarial duties and office management
• Experience in working in an international team and donor funded project
• Experience ol working in a fast paced environment.
• Fluent in English, both written and spoken
• Fluent in written and spoken Amharic
• Excellent computer skills (MS Word, MS Power Point, MS Excel, MS Access, MS Project)
