SCOPE OF THE POSITION
Under the direct supervision of the Senior HR/Admin Officer, the HR/Admin Assistant will perform Human Resource management, administrative, office correspondence and other essential duties in an efficient and professional manner. The incumbent will supervise two administrative staff. This HR/ Admin Assistant post is a support position to an ongoing humanitarian response and local community projects implementation in Benishangul Gumuz Regional State of Ethiopia.
SUMMARY STATEMENT OF DUTIES AND RESPONSIBILITIES:
· Make sure job advertisement is posted timely, shortlisted candidates are summoned to various kinds of assessment, check winners suitability through reference check & medical check up, organize orientation, familiarize new hires with work procedures, and complete the recruitment processes accordingly,
· Keep up-dated staff data base,
· Feed staff data information to a web based human resource information system,
· Ensure payments to suppliers are effected as per agreed timeline for respective services after delivery,
· Ensure field staff and guests get flight bookings, Air travel arrangement, and accommodation accordingly,
· Conduct regular communication and supervisory meetings with staff under supervision,
· Draft internal and external correspondence letters as required,
· Manage the internal and external mail pouches including the post office and distribute them to the concerned personnel,
· Initiate and follow up quarter procurement of office supplies and maintain available stock balance all the time,
· Ensure incoming and outgoing letters are filed on the register book in sequential order and documented accordingly,
· Maintain up to date record keeping and filing of administrative documents,
· Prepares payroll for social workers, temporary workers, and interns,
· Collects Assosa Field Office staff timesheet and send to Addis every month,
· Update internal and external contact sheet regularly,
· Carries out all types of mandatory reports as per the job segregation out lined among the staff of the department,
· Collect medical receipts from staff members, submit it to the HR focal person in Addis to be checked and forwarded to insurance company, keep tracking of it and maintain hard copies of the documents. Distribute the reimbursed amount to staff,
· Maintain up-to-date employee and dependants list for insurance purpose,
· Receives and assists visitors courteously; in answering queries and providing information,
· Facilitate exiting staff matters,
· Performs any additional tasks as assigned by his/her supervisors.
