Administration Assistant Job at Sodo-Buee Child & Family Development Association - 2015

Sodo Buee Child and Family Development Charitable Organization (SBCFDCO) is a community based, not for profit, non-religious and discrimination free indigenous humanitarian organization that exists to help the deprived, excluded and vulnerable children  become productive, confident and responsible citizens, parents and leaders of tomorrow that directly involve and contribute for the development of the country. 


Sodo Buee CFDCO works in partnership with ChildFund Ethiopia.


Therefore, we would like to invite interested and qualified applicants for the following post.  


Job title:  Administration Assistant 


Reports to:  Finance and Admin Head


Job Summary: -


The purpose of the Administration Assistant position is to administer, develop and properly implement the human resource policies and procedures of the Association. She/he is responsible for all HR and personnel issues at the project level. The Administration Assistant is also responsible for the proper administration and use of all project properties including vehicles, motor cycles as well as safety and security of staff and properties.


 


RESPONSIBILITIES AND TASKS: 


• Orient project staff on organizational policies and procedures and oversee full compliance;


• Ensures that appropriate format for performance appraisal is in place and all staff have understanding of SBCFDCO’s Performance appraisal system;


• Ensure implementation of performance appraisal systems;


• Advises the Finance & Admin Head & Manager on personnel management issues.


• Manage accurate personnel records and non personnel documents, up to date archive;


• Ensures that all staff are kept informed of policies and procedure and of any changes;


• Handles employee grievances, disciplinary issues and other administrative problems according to SBCFDCO’s policies and procedures and consult with the Organization Manager


• Ensure that all project properties and office compound are safe, secured and have Insurance coverage;


• Ensure availability of adequate quality of program and office supplies and logistical services at all times;


• Receive and issue goods in accordance with the rules and regulations of the organization.


• Maintains property records and submit utilization reports regularly;


• Provide adequate support to all project staff in all personnel and supply matters.


• Handles to income letters, telephone call and maintain appointments schedule.


• Attend incoming and outgoing mails and ensure that they all are attended;


• Prepares periodic reports on HR management and property administration to the Finance & Admin  Head;


• Ensures that accurate logbooks/log sheets are maintained for the project vehicle & motor cycles;


• Ensures that the office is secured and well-guarded 24 hours and all materials are available 


• Provides all the necessary administrative support to program;  


• Performs other duties as assigned by the Finance and Admin Head.



Duty station: – SNNPR Sodo Woreda Buee town coordination office.


Number of required: – one


Term of employment: -Annually renewed contract based on performance


Language: – Good communication skill both in Amharic and English.





Qualification and Experience: – 10+3(Diploma) / B.A degree in Management, HR management, secretarial science and related filed with relevant experiences of 4/ 2 years respectively.  


Technical Skills Required: -


• Knowledgeable about labor laws & property management;


• Excellent personnel and property planning, organizational, analytical and decision making skills;


• Integrated knowledge and understanding of human resources concepts, practices, systems, and procedures;


• Good skills in the use of computers;


• Strong interpersonal and communication skills and the ability to work effectively;


• Ability in teamwork, gender equality, sensitivity to HIV/AIDS, transparent and participatory management.
